Skanska's new goal management tool is based on a combination of the various different tools in Microsoft Power Platform
Skanska is one of the world's leading construction and project development companies, active in both construction and the development of residential and commercial premises. Skanska was founded in 1887, and has locations in ten countries across Europe and the USA. In Sweden, the company employs just over 8,000 people.
During 2020, Skanska Sverige carried out two pilot studies with the aim of revising its processes and operating methods for business planning and corporate management, as well as the IT tool used for this, which the management had been working on since 2015. One reason behind this was that Skanska was no longer able to use the on-premise solution for Sharepoint that had previously been the basis of the tool, Styrportalen ("management portal").
The starting point was the need for well-functioning operating methods for business planning and corporate management. At the same time, Skanska saw an opportunity to simplify, clarify and improve its tools and guides, and thereby strengthen the quality of its processes.
The main target groups for the Styrportalen portal are Skanska Sverige's own management groups. There was also a need to involve the management groups at an additional organizational level. This meant an increase from the previous 30 internal organizations to 120. An important goal for the new Styrportalen portal was, therefore, to strengthen the scalability of the goal management application and to optimize administration and resources.
In addition, Skanska wanted to create a more living process which gave the management groups the ability to work together more actively on the Styrportalen portal throughout the year, even though, for the most part, the business planning only takes place once per year. Another potential area of improvement that Skanska Sverige identified was to improve the visualization of success and goal fulfillment, and create a clearer thread between different plans and business areas.
Skanska contacted Innofactor at the recommendation of Microsoft. A collaboration was sketched out with the aim of developing a new goal management tool, Styrportalen 2.0, based on a combination of the various different tools in Microsoft Power Platform. The job also included consulting and guidance on best practices for Power Platform and the development of apps in Power Apps.
Power Apps has been used for building a shared structure for all business plans, with components such as objectives, actions to be taken, and metrics (KPIs), as well as interfaces for the reporting of the metrics' outcomes, and for status and comments. Management and storage of data in the apps is now achieved safely and efficiently via the Dataverse data platform. This, together with the Power BI visualization tool, has allowed Skanska to achieve transparent, uniform, and dynamic tracking and management over the past year. Additionally, Power Automate has been used to automate certain parts of the process, such as authorization management in the Styrportalen portal, thus contributing to more efficient IT administration.
The new solution has allowed the operating methods for business planning and corporate management to become more shared, uniform and structured. The goal management tool provides an improved overview of the business plans' content, and creates greater transparency between Skanska's internal organizations.
